Northstar Travel Group is looking for a full-time Manager of Production and Operations to work alongside the Conference Management Team (Associate(s), Manager(s), Director(s), and Managing Director(s)), for coordinating and managing various conferences produced by Burba Hotel Network (BHN) around the world, as may be appropriate. The Manager of Production and Operations position is responsible from time to time, for the training and mentoring of Associates and other team members at BHN who are assigned to work on conferences and events.
The position will be responsible for the production elements and operation of the word-class hotel investment conferences hosted by BHN. This includes all the planning and individual tasks leading up to each assigned event, as well as the execution of the conference on-site. The position will work alongside the Manager – Content & Partnerships to ensure that the production of the event is in sync with the quality of the program created and maintains its best-in-class status. The job will require domestic and international travel.
This role is based on our Costa Mesa, California office.
Manage aspects of the various events BHN produces including:
Assist in developing the annual operating budget for each assigned event and effectively manage expenses.
Work with the Manager Partnerships/Content, as may be appropriate, to achieve and exceed conference profitability goals.
Locate and secure conference venues, including contract negotiation.
Locate and secure conference registration vendors, include contract negotiation.
Locate, secure, schedule and supervise all on-site staff needed to operate each event.
Coordinate with any approved outside events held by others (i.e. sponsor related events).
Coordinate where appropriate any exhibit hall and sponsor related displays.
Collaborate with the marketing team and the conference manager/content to develop the conference marketing campaign, including print and email campaigns, and collect mailing/emailing lists from sponsors to promote each event.
Communicate with each moderator/session leader regarding their audio/visual needs and work with the audio/visual vendors accordingly.
Coordinate unique and special sessions and fundraising events, which may be incorporated into events.
Coordinate the creation of marketing and handout materials, namely brochures, rosters, handouts and advertisements, signage, and verifying and proofing all content-oriented materials with conference manager/content prior to finalization.
Develop the ideas and coordinate “storyboard” flow and scenario for event programs – what’s on the screen, what’s happening in each session, what’s happening back stage, and every moment during the conference.
Coordinate with the host venue, such as with venue contracts, food and beverage, etc.
Coordinate the activities required of back stage management during event sessions.
Coordinate with the venue for planning meetings
Participate in pre-conference meetings with hotel and conference staff as appropriate.
Coordinate with the outsourced event vendors including registration, security, etc.
Identify and help develop unique ideas for each event.
Other production elements as may be required for each event
Assist with the implementation of the conference information management and retention policy.
Regularly read/review all relevant trade industry publications and e-news services to remain current with industry issues and trends.
Ability to have regular and extensive contact and interaction with associates, senior management, administrative staff, outside vendors, and customers.
Provide assistance as needed with other product lines and services of the firm that may be added from time to time.
Other tasks as identified and assigned.
Required Knowledge, Skills and Abilities:
Proficiency in use of a computer; use of computerized software programs, including Microsoft Office suite of products, including Word, Excel and PowerPoint; data base applications such as Access/Salesforce; and standard email software such as Outlook and Exchange.
Proficient knowledge and ability to use the internet as a resource for research.
Knowledge of business correspondence techniques and English composition, grammar, spelling and punctuation. Similar skills in a foreign language, a plus.
Individual must have a high degree of managerial, financial and time management skills; must be good with numbers and detail oriented
Strong business acumen and professionalism, excellent customer focus, attention to detail and outstanding communication skills in all forms
Critical thinking and organizational skills are a must
Ability to multi-task in an efficient, thorough, and prioritized manner; to work quickly, accurately and under minimal supervision to deliver results against tight deadlines.

Formal Education or Equivalent:
Undergraduate degree preferred and 3-5 years of related experience.
