The Program Coordinator will be responsible for all aspects of events and meeting planning, including strategizing the types of events to maximize department visibility and public relations (PR). Event-related responsibilities include, but are not limited to, reserving space, transportation, facilities/audiovisual arrangements, catering orders, set-up and breakdown, preparing materials, and advertising of the event. Responsibilities also include arranging accommodations and itineraries for department visitors, such as faculty candidates and distinguished guests, as well as departmental expense reimbursement processing.
The Program Coordinator will also oversee all aspects of Marketing and Public Relations for the department. Responsibilities include maintaining a strategic web presence for the department, including website and social media pages (i.e. Facebook, Twitter, LinkedIn), developing and writing fresh content, responding to department inquiries through social media messaging, and implementing new platforms when applicable. Responsible for working and coordinating closely with internal contacts in both University and College of Engineering Marketing and Communications teams to develop strategies and outreach as appropriate for public relations to increase the visibility of department. The Program Coordinator will also work closely with faculty in developing Postcard content and announcements in conjunction with the College of Engineering Marketing team for deadlines, content approval, and mailing schedules. Additional responsibilities include overseeing all aspects of the department monthly newsletter, including developing content and management of member list, and regularly creating and submitting department-specific news stories to the College. The Program Coordinator will develop other marketing material such as posters and flyers as needed or at the request of faculty or staff.
The Program Coordinator is responsible for the financial oversight of all Event and Marketing/PR activities of the Department of Chemical Engineering. Including, not limited to, working within an approved budget, forecasting, comparing vendor selections, completing invoice payments.
The position will also work closely with the other staff members and faculty in the department by assisting with special projects and other administrative support within the department as needed.
A bachelor’s degree is required with a minimum of 2 years of experience. The successful candidate should be reliable, quickly adaptable, and punctual with the ability to multi-task at all times. The candidate will naturally be proactive with the ability to take initiative and ownership of responsibilities. Strong organizational skills and ability to meet deadlines. The candidate must be able to work independently, as well in a team environment. Excellent internet and computer skills including Microsoft Office, (Including Word, Excel, PowerPoint, Outlook), and the ability to learn new systems independently. Strong proficiency in Microsoft Excel required. Ability to forecast, prepare, manage, and work within an assigned budget required. Ability to have a flexible schedule from time to time to meet event needs, and some occasional travel (~>5%) may be required. Must be able to gather and analyze department data statistics and translate into marketing materials as needed. Ability and willingness to continuously evolve and adapt tasks as necessary and learn quickly new policies and procedures. Other Duties as assigned.
