The Marketing and Communications Specialist – ERM is responsible for managing the administrative tasks and maintaining the quality of the data in the firm's Email Relationship Management (ERM) system. This person will help establish standards for user access, system configuration, and data entry, and ensure that data is entered and maintained accurately. The ERM specialist will also collaborate closely with the firm's trainers and marketing professionals to create data maintenance and training programs that provide ongoing assistance to attorneys and key staff in making the most of the ERM resource.
Duties & Responsibilities
The ERM Specialist serves as the primary point person within the firm for administering the firm's ERM. Responsibilities include:
Establishing guidelines, measurements, and metrics for the firm's ERM. This includes developing ERM usage analysis and business development reporting.
Performing all administrative tasks required for the ERM including: user access, system configuration, development of reports and searches, data quality checks, etc.
Creating best practice processes and documents for efficiently and effectively managing the ERM program.
Overseeing data maintenance and ensuring the accuracy of information in the ERM database.
Training and supporting marketing professionals who have access to the system. This will include initiating and organizing regular meetings and other communications. In this role, this person will review questions regarding data and perform data entry work, as necessary, to maintain integrity of data within the ERM database.
Developing ways to grow ERM content and functionality that enhance the value of the content to the lawyers in support of business development efforts.
Liaising with marketing professionals who support databases that interact with the ERM and understanding how the systems work together.
Training and assisting Marketing staff in supporting strategic business development initiatives, developing reports, and conducting data analysis as needed.
Developing and delivering education and training programs and materials with firm trainers, using multiple alternative training methods (in person, video, audio, etc.) to ensure the availability of ERM training.
Liaising with technology team and ERM vendor to ensure system functionality and troubleshoot any issues.
Collaborate with marketing and other business professionals throughout the firm across functions and teams.
Skills & Competencies
Strong understanding of contact database technology.
Administration responsibilities with contact database management program.
Excellent oral and written communication skills with all levels of firm personnel.
Meticulous attention to detail.
Must understand the importance and value of this business-development tool and be able to communicate effectively to attorneys and staff the value of the tool as well as how to use and leverage its full functionality.
Adept problem-solver, who is proactive and a self-starter and able to work both independently and as part of a team.
The successful candidate with have the ability to function in a service-oriented, multiple-authorities environment, demonstrate leadership and organizational skills, and work effectively within a team environment.
Must be flexible to meet client demands.
Qualifications & Prior Experience
Bachelor’s degree is required
Candidate will have a minimum of 3 years’ experience administering a contact database, or equivalent.
Experience as a project or team coordinator strongly preferred.
