JOB PURPOSE AND REPORTING STRUCTURE: Under the direction of the Director of Marketing, the Marketing and Communications Coordinator provides the best possible support to the department in coordinating all marketing and communications administrative functions, assisting with current advertising channels such as print, radio, direct mail, digital and social, performing clerical and research duties, and organizing and attending department and committee meetings, which includes taking minutes. This position also includes keeping and maintaining expenses and timelines for the department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provide administrative support to marketing and communications department.
Monitor production schedules for all marketing collateral including print, digital, and direct mail.
Support email communication strategy under the direction of Marketing Manager (compiling, building, routing) as needed.
Assist with static website updates in collaboration with key team members.
Proofread all marketing and communications collateral, including ads, emails, direct mail, web updates, program books, content) and assist in inter-departmental routing.
In coordination with Communications Manager, support social media content strategy and posting as needed.
Coordinate correspondence, return calls, and maintain the department filing system.
Utilize Tessitura, MSO’s CRM software, for targeted lists, customer service requests, and other functions as needed.
Process, code and input invoices into marketing and communications department budget
Research lost invoices and handle billing discrepancies with vendors by providing them with necessary documentation from finance department.
Act as invoice liaison between marketing and finance departments
Requisition expense budget spreadsheet monthly and balance with finance reports
Coordinate all aspects of Marketing and Advocacy Committee, including correspondence, meetings, and minutes
Support collaboration and external partnerships and provide the best customer service possible to every patron, vendor, and community partner
Possible event and/or performance attendance as needed
Other duties as assigned

EDUCATION AND/OR EXPERIENCE: This position requires a college degree, with emphasis on skills that support Marketing and Communications success. Performing arts experience and/or working knowledge of classical music is important.
LANGUAGE SKILLS: Must have excellent communication and interpersonal skills.
MATHEMATICAL SKILLS: Basic math skills required.
REASONING ABILITY: Able to collect data and information, establish facts, and draw valid conclusions.
EQUIMENT REQUIRED: This position requires the ability to use the postage machine, copier, printers, computer and associated software, phone system, and voice mail system. Experience with basic graphic design (cropping/sizing of images) and/or web and email CMS a plus.
OTHER SKILLS AND ABILITIES: This position requires excellent communication and interpersonal skills, the ability to work effectively and collaboratively with a team, handle multiple tasks simultaneously, and a penchant for hard work. Proficiency in computer skills, including word processing and spreadsheet, required.

Celebrating its 28th year, the nationally-recognized ACE program integrates arts education across all subjects and disciplines, providing opportunities for students when budget cuts may eliminate arts programming. The program provides lesson plans and supporting materials, classroom visits from MSO musician ensembles and artists from local organizations, and an MSO concert tailored to each grade level. This season, more than 7,200 students and 500 teachers and faculty in 22 Southeastern Wisconsin schools will participate in ACE.
